Privacy Policy

1. Who We Are

Memo Chat+ (“we”, “us”, “our”) is an AI-powered exam preparation chat platform covering IELTS, TOEFL, TOEIC, PTE Academic, Cambridge English, OET, the Duolingo English Test, SAT, GRE, GMAT, and the Japanese nursing national exam. We are not affiliated with any exam board or test provider (see the trademark notice in our Terms of Service).

2. What We Collect

We collect the minimum data necessary to provide our service:

  • Account information: Your name, email address, and profile photo — provided by Google when you sign in with Google, or your email address when you sign in with an email magic link.
  • Chat content: The messages you send to the AI tutor, and the AI's replies, stored so your conversation history syncs across devices.
  • Study profile: A short AI-generated summary of your goals and weaknesses (for the “Welcome back” feature), plus scored-session results used to personalise coaching. You can clear these at any time from History → Clear all.
  • Speaking session data: If you use Speaking Practice, your spoken audio is transmitted to OpenAI's API for transcription and to generate the examiner's voice. Raw audio is never stored by Memo Chat+ and is not retained by OpenAI beyond the duration of the request. Transcript text, scores, and feedback are stored and can be deleted by clearing your history.
  • Usage data: Credit usage counts (per month) and per-feature API cost records, used for billing limits and service operation.
  • Payment information: If you subscribe, Stripe processes your payment. We never see or store your card number.
  • Feedback: Anything you submit through the feedback form on your profile page.
  • Log data: Standard server logs and error reports (via Sentry), including IP address and browser type, retained for a limited period for security and debugging.

3. How We Use Your Data

We use your data only to provide and improve the AI tutoring, speaking practice, and study-room features; to enforce usage limits and process subscription payments via Stripe; to send transactional emails (sign-in links, receipts); and to detect and prevent abuse. We do not sell your data. We do not use your conversations to train AI models.

Study room: messages you post in the shared study room are visible to other participants in that room in real time. Do not post personal information there.

4. Third-Party Services

We share data with the following processors only as required to operate the service:

Google OAuthAuthentication. Google's privacy policy applies to data processed by Google.
ResendDelivers sign-in magic-link emails to your email address.
AnthropicYour chat messages are sent to Anthropic's API to generate tutoring replies and scoring. Anthropic does not use API-submitted data to train its models by default. See anthropic.com/privacy.
OpenAISpeaking-practice audio (voice synthesis and transcription) and generated task images are processed by OpenAI's API and not retained beyond the request. See openai.com/privacy.
StripeSubscription payments. PCI-DSS compliant; we never access your card details.
VercelHosting. Application traffic and logs pass through Vercel's infrastructure.
Neon (PostgreSQL)Our database provider stores your account, chat history, and usage data.
PusherReal-time message delivery for the shared study room.
SentryError monitoring. Receives technical error reports which may include your IP address.

5. Legal Basis for Processing (GDPR — EEA & UK Users)

If you are in the European Economic Area or United Kingdom, we process your personal data on these legal bases: contract performance (providing the service you signed up for), legitimate interests (security, abuse prevention, product improvement), legal obligation (retaining data where required by law), and consent (any non-transactional communications, withdrawable at any time).

6. International Data Transfers

Memo Chat+ uses infrastructure and providers based in the United States, including Vercel, Neon, Anthropic, OpenAI, and Stripe. If you are located outside the US, your data will be transferred to and processed in the US. We only use providers offering adequate data-protection commitments (such as Standard Contractual Clauses). By using the service, you acknowledge this transfer.

7. Data Retention

We retain your account data and chat history for as long as your account is active. You can delete your account and all associated data at any time from the account menu (“Delete account”) — deletion is immediate and permanent. Anonymised, aggregated usage statistics may be retained for product improvement.

8. Cookies

We use only essential cookies required to maintain your login session and remember your theme preference. We do not use advertising or tracking cookies.

9. Your Rights

Depending on your location, you may have rights to access, correct, delete, port, or object to processing of your personal data. Account deletion is self-serve from the account menu. For anything else, email support@ieltsmemo.com.

10. Security

We use HTTPS encryption in transit, encrypted database connections, and access controls. No system is 100% secure — notify us immediately if you suspect unauthorised access to your account.

11. Children

The minimum age to use the service is 13 (or 16 in the EEA/UK, in line with GDPR). We do not knowingly collect personal data from children below the applicable threshold. If you believe a child has provided us personal data, contact us and we will delete it promptly.

12. Changes to This Policy

We may update this policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Continued use of the service after changes constitutes acceptance of the revised policy.
